Cancellation and Refund Policy
Happy Tour Nepal encourages you to thoroughly read our cancellation and refund policy. By booking with us, you agree to be bound by our rules and policies. Should you have any questions, please contact us for clarification.
Definitions
- “Happy Tour Nepal” or “we” refers to Happy Tour Nepal Pvt. Ltd., its staff, and associates.
- “You” or “your” refers to clients and visitors booking our services.
Booking and Payment
To confirm your booking, a 30% non-refundable deposit of the total trip cost is required. The remaining balance must be paid upon your arrival in Kathmandu, during the trip meeting before departure. You can pay in cash (USD, Euros, GBP, AUD, CAD, SGD), card (3.9% card processing fee), wire transfer, Paypal (4.5% paypal fee) or via Wise.com.
Note: A passport copy is required to process flight bookings, hotel reservations, trekking permits, and any other necessary legal requirements.
Cancellation and Refunds
Cancellation charges apply as follows:
- 30 days or more before departure: 0% cancellation fee (the 30% deposit is non-refundable).
- 15-29 days before departure: 50% of the total trip cost.
Trip Cancellation due to COVID-19 or Other Reasons
- Your 30% deposit is non-refundable. If you have paid in full, 70% of the total cost will be refunded.
- Alternatively, you can postpone your trip for up to one year at no extra charge.
- If you reschedule beyond one year and the trip cost increases, you will be responsible for the price difference.
- Your deposit is valid for two years and can be applied toward any future trip with us.
- You may also switch to a different trip using your deposit.
Trip Cancellations by Happy Tour Nepal
If we cancel your trip, you will receive a full refund of all payments. However, if the cancellation is due to circumstances beyond our control (e.g., civil unrest, natural disasters), reasonable expenses already incurred will be deducted from the refund.
Passport and Visa Requirements
Clients must hold a passport with at least six months’ validity from the return date. Nepalese visas can be obtained from Nepalese embassies or upon arrival at Kathmandu Airport. The cost of the visa is the responsibility of the client.
Insurance
Happy Tour Nepal insures its staff. However, clients must provide proof of personal travel insurance that covers trip cancellations, medical emergencies, and evacuations during the booking process.
Incomplete Trips
We are not responsible for refunds if a tour, trek, or expedition is cut short for any reason on the client’s side. All expenses for the trip are pre-paid to our guides and support staff. Extra costs for hotels, meals, or other needs due to early termination are the client’s responsibility.
Acceptance of Risk and Liability
While Happy Tour Nepal aims to provide the best possible service, we are not liable for any changes to the itinerary caused by uncontrollable events such as natural disasters, government restrictions, or political unrest. Trekking and tours involve inherent risks, including accidents, illness, or injury. By booking with us, you acknowledge these risks and agree to bear them personally.
